Forms and requests

Transcripts, testimonials, leave of absence, withdrawal and appeals — with the deadlines that apply.

Forms by type

Request an official transcript

Order through the student portal. Copies cost HK$50 each and are ready in five working days; posting overseas adds about ten days. A transcript issued before results are released will not show the current semester.

Graduating students receive one free copy with their award documents.

Request a testimonial or reference letter

A standard testimonial confirming your enrolment, programme and expected graduation date is issued by the Faculty office within three working days at no charge.

A personal reference for employment or further study must be asked of a member of staff who has taught you. Give at least two weeks’ notice, and send them your transcript and the details of what you are applying for.

Apply for leave of absence

Leave of absence is granted for up to two semesters for medical, family or other substantial reasons. Apply through your programme adviser, with supporting documents, before the semester begins where possible.

Time on approved leave does not count towards the maximum period of study. Tuition already paid for the semester is refunded in part according to the date the leave takes effect.

Late withdrawal from a course

After the add/drop deadline and up to the end of week ten, a course may be withdrawn with your adviser’s approval. The course is shown on the transcript with a W and no grade, tuition is not refunded, and the credits do not count towards your load.

Appeal an assessment result

Appeals must be lodged within 14 days of the release of results and must state grounds — a procedural irregularity, or evidence not properly taken into account. Disagreement with academic judgement is not in itself a ground of appeal.

Submit the appeal form to the Faculty office. You will be told the outcome within six weeks, and a result may go down as well as up.
